This Privacy Policy (the ‘Policy’) explains when, how and why we collect personal information and how we keep it secure.

Who are we?
Shrimad Rajchandra Mission Dharampur (UK) (‘we’ or ‘us’) is a trust incorporated under the laws of England and Wales. We are a registered charity (number 1138913) and our registered address is 3 Saddlers Close, Hatch End, Pinner HA5 4BA.
As a not-for-profit organisation we are exempt from paying a fee to the Information Commissioner’s Office (ICO). However, we comply with all data protection obligations under the Data Protection Act 2018, the UK General Data Protection Regulations (UK GDPR) and the Privacy and Electronic Communications Regulation (PECR) (“Data Protection Law”). This means that we are responsible for, and control the processing of, your personal information.

When do we collect information from you?
When you interact with us directly: This could be if you ask us about our activities, register with us for an event, make a donation to us, purchase something, apply for a job or volunteering opportunity or otherwise provide us with your personal information. This includes when you visit our website, make a purchase at our events or online, or get in touch through the post, email, social media, or in person.
When you interact with us through third parties: This could be if you provide a donation, make a payment or register for an event through a third party such as Eventbrite or one of the other third parties that we work with and provide your consent for your personal information to be shared with us.
When you visit our website / read our emails: We gather general information which might include which pages you visit most often, and which services, events or information is of most interest to you. Through our Automatic Data Collection Tools, we may also track which emails you open from us, where you open them from (your IP address), when you open them and which pages you visit when you click on links in emails from us.
Public sources: These may include Google or other internet search engine results, or publicly available data from Facebook, Twitter and similar social media, or other information available in the public domain.
Event Registration - Additional Privacy Information
When you purchase a ticket or register for an event organised by Shrimad Rajchandra Mission Dharampur (UK) (an "Event"), the following additional privacy information applies.
Data collected at registration
When you register for an Event, we collect your name, email address, and payment details where applicable. This processing is necessary to fulfil your registration or ticket purchase contract with us. If you are registering on behalf of other attendees, you confirm that you have their authority to provide any personal information relating to them, and that they have been made aware of this Privacy Policy.
Photography and filming at Events
Photography and filming may take place at our Events and may be used in promotional, social media, and fundraising materials produced by Shrimad Rajchandra Mission Dharampur (UK) and its sub-entities. By purchasing a ticket or registering for an Event, you acknowledge this and agree that images or footage in which you appear may be used for these purposes.
If you are registering on behalf of a person under the age of 18, you confirm that as their parent or legal guardian you agree, on their behalf, to their image being captured and used in this way as a condition of their attendance. If you do not agree, you should not register that person for the Event.
Retention of event registration data
Personal data collected in connection with your event registration will be retained for 12 months following the date of the Event, after which it will be securely deleted, unless we are required by law to retain it for longer (for example, for Gift Aid or financial record-keeping purposes).
What type of information is collected from you?
The personal information we collect might include your name, address, email address, IP address, phone number and information regarding what pages are accessed and when. If you make a donation online, your card information is not held by us; however, it is collected by our third-party payment processors, who specialise in the secure online capture and processing of credit/debit card transactions. We do not collect “sensitive personal data” about you.
How is your information used?
We may use your information to:
- Send you communications which you have requested and that may be of interest to you. These may include information about our upcoming events, activities, spiritual classes, campaigns, appeals, or other fundraising activities.
- Process a donation that you have made. When you are using our secure online donation pages, your donation is processed by a third-party payment processor, who specialises in the secure online capture and processing of credit/debit card transactions.
- Maintain our own accounts and records (including the processing of gift aid applications).
We may share your information within the Shrimad Rajchandra Mission Dharampur organisation (e.g. Mission headquarters in India). This will be for administrative purposes only.
We review our retention periods for personal information on a regular basis. We are legally required to hold some types of information to fulfil our statutory obligations (for example the collection of Gift Aid). We will hold your personal information on our systems for as long as is necessary for the relevant activity.
We will not share your information with any third parties for marketing purposes.
Who has access to your information?
The personal information we hold about you will only be used by the Trustees, Finance and Public Relations teams of SRMD (UK) and the Committees of SRLC and SRD for the reasons mentioned in the section above. Distribution lists will only be shared with members from these teams with email addresses on our domains: @srmd.org, @loveandcare.srmd.org and @divinetouch.srmd.org.

The accuracy of your information is important to us. If you change email address, or any of the other information we hold is inaccurate or out of date, please email us at: london.events@srmd.org.

We take looking after your information very seriously. We’ve implemented appropriate physical, technical and organisational measures to protect the personal information we have under our control, both on and off-line, from improper access, use, alteration, destruction and loss. These include password protection across our databases and secure encryption. The database will be stored in a central third-party platform with user access credentials provided only to those individuals in the section above – “Who has access to your information”.
Unfortunately, the transmission of information using the internet is not completely secure. Although we do our best to protect your personal information sent to us this way, we cannot guarantee the security of data transmitted to our site.
